JOB SUMMARY To assist the Post Closing area with administrative functions including but not limited to checking in tracking collateral and mortgage documentation, working with Excel spreadsheets, running reports daily and weekly. There is interdepartmental contact regarding delivery status. This function requires a great deal of organization, time management, accuracy and confidentiality. Operates in full compliance with internal policies and procedures as well as applicable regulations and laws, including but not limited to Bank Secrecy Act/Anti-Money Laundering requirements. Responsible to report any procedure or process that doesn't meet regulatory requirements including fraud, whether suspected or confirmed, to management. This reporting can be done directly to any member of management, including Human Resources or Corporate Security, or can be reported through Associated's anonymous Ethics Hotline. KEY RESULT AREAS Accuracy Communication Decision Making Ability to make independent judgment calls based on procedural guidelines. Organizing Administrative Support JOB ACCOUNTABILITIES Route incoming loan files (60 - 100 files per day) to post closing based on the status of the loan. Update file tracking with all loans received in Post Closing (60-100 files per day) and identify which loans are subject to re-pricing based on Secondary Market lock policies. Identify closed loan files to prioritize loan review based on channel, product, investor deadlines, FHA and VA loan funding requirements, and delegated QC review. Immediately secure all collateral files when received and ensure proper tracking prior to shipment to Records department. Maintain Master Note report for TPO loans. Reviewing notes and adding conditions to LOS for TPO files with the status of note. Utilize Manager Tasking to assign files to reviewers based on Reviewer assignments set by the mangers as well as date received, channel and product type. Change status of employee loans in Nautilus for reviewing purposes. Complete data entry in Loan Origination System for retail conversions files. Send late delivery, and production reports at the end of the day to report on activity for the Post Closing department. Prepare loan file bins for nightly shipping to Records department accounting for all files shipped and received. Communicate daily with Loan Coordinator Supervisors for loans that are on the late delivery report updating the status of the loans; including loans that have been shipped and not received. Monitor and direct emails from the shared email boxes for post closing, final docs and suspense items. Process incoming and outgoing mail for the building (50-100people) working with UPS, FedEx, and USPS. Initiates or confirms wires and credit transfers for purchased third party originated loans, up to $20M per a day. Prepare and send purchase advices to accounting daily used for reconciling the wires and credit transfers. Update tracking of Outstanding Conditions in the Loan Origination System and forward the documents to Records. Responsible for initiating and tracking all account receivable transactions in the Post Closing department including depositing checks, principal reductions made at closing, and late document fees assessed to TPO's. Ordering all office supplies for Secondary Marketing, Correspondent Lending, Post Closing, Compliance and Underwriting Office Security Coordinator for building including updating security system with new colleagues, taking photographs of new colleagues for ID badges, updating building contact list including emergency contact in case of an emergency. Professionally receive, handle, and transfer phone calls accurately and promptly for all departments in the building, Secondary Marketing, Correspondent Lending, Post Closing, Compliance, and Underwriting. Primary contact for all service related vendors, (Konop, Modern Business Machine, etc.) Responsible for updating and maintaining the Business Resumption Plan for the Post Closing Dept. Assist managers with administrative duties including scheduling meetings, creating agendas and updating minutes and procedures. Attend and assist at out of office functions. Compile expense reports. Updating organizational charts. Communicating with senior management and maintaining confidentiality in all activities.
